Receptionist (Part-time)
Job Summary:
Answers the main phone, routing calls to the appropriate parties. Greets visitors, distributing and tracking security badges as needed. Ensures that callers and visitors are treated courteously and professionally. Handles incoming and outgoing mail and express deliveries. Performs various clerical duties.
Key Functions/Responsbilities:
- Answer phones and route calls
- Greet visitors. Distribute and track security or ‘lost’ employee badges, ensuring all visitors sign in.
- Sign for, pull packing slips, maintain daily log for incoming packages and notify recipient
- Open mail, process invoices, maintain checks for daily deposit, and arrange for courier pick up. Follow up on requests for invoices
- Match vendor invoices w/vendor checks
- Fedex packages/envelopes upon request
- Create work orders to building management upon requests to Facilities
- Stuff envelopes/stamp/mail
- Provide back up to Finance as necessary
- Special projects as needed for Finance or other departments
Qualifications:
Education and Experience:- High School diploma or equivalent
- Post high school administrative or accounting education a plus
- 1-3 years experience in a similar receptionist or administrative role
- Experience in Finance/Accounting is a plus
- Experience using Excel, Word and MS Outlook
- Effective communication skills (verbal and written) with all levels of the organization
- Portrays a professional image on the phone and to visitors
